The Executive Assistant will be responsible for providing high-level administrative support to the leadership team. This role includes managing both professional and personal tasks for senior team members, ensuring effective communication, and organizing travel logistics and meetings. You’ll collaborate closely with other assistants to manage workload distribution and provide seamless support, allowing the leadership team to prioritize key projects. This position requires strong organizational skills, discretion, and a proactive approach to problem-solving, ensuring that the leadership team can focus on strategic initiatives and company goals.
Accountabilities:
- Provide comprehensive support to all members of the leadership team, assisting with time management and task prioritization.
- Manage both personal and work-related tasks, ensuring all needs are met in a timely and efficient manner.
- Coordinate travel arrangements, including booking flights, accommodations, and itineraries, ensuring seamless travel experiences.
- Schedule, prepare for, and follow up on meetings, ensuring all materials are ready in advance.
- Serve as a key point of contact between the leadership team and other departments, facilitating clear and effective communication.
- Support the leadership team in managing project timelines, ensuring deadlines are met, and progress is tracked.
Requirements
- Fluent in English, with additional proficiency in Spanish and Russian highly desirable.
- Previous experience as an executive assistant or in a similar administrative role, particularly supporting senior leadership teams.
- Proven expertise in managing complex calendars, scheduling, and organizing travel logistics.
- Strong project management skills, with the ability to juggle multiple tasks and deadlines simultaneously.
- Demonstrated ability to work collaboratively with cross-functional teams and other assistants to achieve optimal results.
