Youth Collaboratory is inviting qualified applicants for our Event Manager position. The Event Manager is a full-time, exempt position and reports to the Director of Operations. As a member of the Operations Team, the Event Manager is responsible for planning and leading professional events in addition to strengthening organization-wide systems and processes.

The salary range for this role is $66,780 to $74,200 plus benefits

Leading and/or assisting with the planning and execution of the organization's annual events varying in size from 20 - 1,200 people which include 100+ virtual meetings, 5+ in-person training events, and 1 annual conference.
  • Collaborate with program, communication, and finance team members to define the strategy and tactics to achieve the event objectives.
  • Create and maintain project timelines based on deliverables and team needs and facilitate recurring project check-in meetings.
  • Manage and lead event team of peers with event execution, ensuring deliverables are met.
  • Manage calendar of events ensuring accurate information.
  • Manage event registration from form field building to post-event reconciliation.
  • Research, negotiate, and finalize contracts with hotels, venues, and vendors.
  • Develop detailed event run of show and week of event schedule for in person events, assigning and training team members on responsibilities as needed.
  • Travel as needed based on event requirements and serve as onsite event contact for venues, vendors, and contractors for these events.

Improving operational systems and processes
  • Work in partnership with the Director of Operations and operations team members to manage and strengthen related systems and processes.
  • Identify and document innovative event and conference best practices, FAQs, and training documents to support meeting hosts, speakers, and program staff.
  • Research and connect with external networks to stay on top of trends and new tools in the event and conference space, bringing key learnings and recommendations back to Operations leadership.
  • Develop process improvements based on emerging trends to enhance event planning and operations.
  • Provide expert knowledge and training to Youth Collaboratory staff when needed to support event projects.

Additional responsibilities
  • Communicate regularly with constituents, providing excellent customer service.
  • Collaborating with program, communication, and finance teams, Lead the planning and execution for external national conference tabling and participation.
  • Additional project management needs related to non-event projects.
  • Any other duties deemed necessary to facilitate the operation of Youth Collaboratory.

Experience
  • Minimum of five years of related professional experience in event management leading professional meetings or events required. Experience planning, or assisting with planning, conferences for 1,000+ people a plus, to include but is not limited to: Experience planning multiple virtual and in-person events simultaneously. Experience with hybrid events is a bonus; Zoom admin experience is a must; Experience planning multiple virtual and in-person events simultaneously. Experience with hybrid events is a bonus; Ability to manage stress and remain calm, collected, and organized while problem solving and leading the event from front and back of house; Proven exemplary customer service skills and can successfully anticipate and resolve conflicts; Previous experience problem solving and leading events from front and back of house required; Creatively, quickly, and seamlessly adapting to change; Experience professionally booking hotel, airfare, and other travel arrangements for themselves and others.
  • Minimum of five years working in a team-based environment. This experience will include but is not limited to: The ability to prioritize building relationships with internal team members, external vendors and contractors, and excellent customer-focused competencies when working with constituents required; Experience working cross-functionally with team members and teams, in addition to experience leading projects with peers that are not direct reports required; The ability to autonomously drive a personal work agenda while working cooperatively in a team environment is required; Minimum of five years working in an office environment, learning and utilizing software, bonus points if it is a virtual office environment preferred; Experience with customer-relationship management software, such as Salesforce preferred; Strong proficiency in Google and Microsoft applications and the ability to quickly learn new support software preferred; Experience working with event management related software, such as Zoom, Cvent, and Hopin a plus.
  • Minimum of two years proven ability developing processes and perfecting a keen level of organization and attention to detail, to include but is not limited to: Striving for systems improvement and proactively looking for new ways to make things better; Developing clear processes to complete complex tasks; Ability to communicate complex ideas or processes in a patient and clear way to others; Advanced organizational skills: ability to determine priority tasks and maintain strong attention to detail; Ability to independently create and manage workplan in order to achieve deliverables and tasks on a timely basis
